Edit a Schedule

Schedules can be updated at any time to reflect changes in tasks, durations, dependencies, or settings. This page explains how to efficiently edit your schedule to keep project timelines accurate and aligned with real-world progress.


Note: By default, only the creator of each schedule can edit the Gantt chart for the schedule. However, edit permissions can be granted to other users who have been shared the schedule.

Overview

Once a schedule is created in ProjectTeam.com, you can make updates at any time to reflect changes in project timelines, task progress, or dependencies.

This page guides you through how to update task details, adjust durations, modify dependencies, reorder tasks, and apply changes to working days or auto scheduling settings. Keeping your schedule up to date ensures accurate project tracking and better team coordination throughout the project lifecycle.

Editing the Gantt Chart tab

Inline Edit:

  • In fullscreen mode, users with edit permission can click into the task they want to update. Each field on the left side can be editing.
Edit Task Duration:
  • The Duration column shows how many days a task is expected to take. Duration is currently measured in days only.
  • If a task’s duration is set to zero, it is treated as a milestone and displayed as a yellow diamond on the Gantt Chart.
Create Predecessors:
  • Use the Predecessors column to define task dependencies. Enter the row number of the task that must be completed before the current task can begin.
  • For example, if you want Task #3 to depend on Task #2, type 2 in the Predecessors column of row 3. This will create a dependency line on the Gantt Chart, shown as a gray arrow connecting the two tasks.  
Set Percentage Complete Per Task:
  • There are two ways to set the percentage complete per task. You can enter in a percentage in the % column, or slide the task bar over with your cursor to reveal a green section of the task bar.
Add Notes:
  • You can add notes to any task by clicking in the Notes column and entering text. To display the Notes column, slide the Gantt Chart to the right to expand the task information area.
  • Use the Notes field to record additional details such as "assigned resources" or other relevant information. All Gantt Chart fields, including Notes, are available in reports, allowing you to create reports grouped by resource or other criteria.
Task Sub-Menu (Add Subtask & Delete)
  • To add a subtask, or to delete a task, right click on the existing task to reveal both options.  
  • A subtask will create a new task and place it under the main task.  The main task will have a button next to it with the option to show or hide the subtasks.
Reorder Tasks:
  • Tasks within a schedule can be reordered after they have been created.  To reorder the tasks, drag and drop the task into a different location on the schedule.  
Today Line:
  • On the Schedule, a line will appear over "Todays Date", to endure the reader knows where the current days is in relation to the overall schedule.  
Save vs. Cancel:
  • After editing the schedule, you must save it in order for your changes to populate.  If you select the cancel button, your changes will not be saved.
