Create a Company Share Group

Create and manage share groups at a company level and apply to multiple projects to enforce standardization.

Overview

Note: Only Company Administrators can create and manage Company Share Groups.

Company Share Groups are similar to project-level Share Groups except that they are created at a company level and can be used across multiple projects.  This article will explain how to create a Company Share Group, make them available to projects, and manage users in each group.

To access the Company Share Groups area, Company Administrators can click on the option in the My Company area.

Create a Company Share Group

  1. From the "My Company" page, click the Company Share Groups option.

  2. Click the New button on the top right of the page.

  3. Fill in the Group Name and Description.

  4. Click the Save button.

By default, the new Company Share Group is not available on any projects. Use the "Project Eligibility" panel to add the Company Share Group to projects and add users to your new group.

Add Company Share Group to Projects

Note: Company Share Groups can be added to projects in two ways: by Company Administrators "pushing" down to projects or by Project Administrators "pulling" the group into their project. This page describes the Company Administrator's process.

  1. Navigate to the Company Share Group you want to add to a project.

  2. In the "Project Eligibility" panel, click the Add button.

  3. In the "Add Share Group to Projects" modal, click the checkbox next to all projects you'd like to add to the Company Share Group.

  4. Click the Add button.

After adding the Company Share Group to projects, you will notice a "0" under the Group Membership column by default. That means there are no users in the group. As a Company Administrator, you can add users from this screen, or you can let Project Administrators within the project manage membership.

Add Users to Company Share Group

Note: As a Company Administrator, you can add users to a Company Share Group at the company level. However, Project Administrators can also add users to the Company Share Group within the project administration area of the project. This page describes the Company Administrator's process.

  1. Navigate to the Company Share Group you want to add users to.

  2. In the "Project Eligibility" panel, you will see a list of projects.
  3. Hover over the project row and click the pencil icon that appears under the "Group Membership" column. 

  4. In the "Update Group Membership" modal, click the checkbox next to all users you'd like to add to the Company Share Group on the project.

  5. Click the Update button.

If successful, you should see the number in the "Group Membership" column reflect the total number of users in the group. You can click the user icon and see a list of all users in the group for that project.

Remove Users from Company Share Groups at a Company Level

Caution: At the company level, removing users from a Company Share Group is as easy as deselecting a checkbox. There is no confirmation message before removing, so review all selections before making any changes in the "Update Group Membership" modal. 

  1. Navigate to the Company Share Group you want to remove a user from.
  2. In the "Project Eligibility" panel, you will see a list of projects.
  3. Hover over the project row and click the pencil icon that appears under the "Group Membership" column. 
  4. In the "Update Group Membership" modal, deselect the checkbox next to all users you'd like to remove and click Update.

Make a Company Share Group "Public"

Warning: You can make a Company Share Group "Public," but once that happens, there is no way to switch it back to "Private."

By default, all new share groups start as "Private, " meaning only your company's users can use them. However, you can make the group "Public," which would allow users from other companies you are connected to for each project to also use it. 

  1. Navigate to the Company Share Group you want to update.
  2. On the top of the "Company Share Group Details" panel, click the Make Public button.
  3. Carefully read the confirmation modal, and click Yes to finish.
