Project Administrators can define default values for fields on forms. These default values can be defined for fields such as single line text, multiline text, dates, and fields in collections.
The article below will give in depth explanations on how to set default values for each field type along with the rules that may apply.
Note: Default values for the following field types can also be used in Collections.
Single Line Text
- Enter into the Form type you want to add a default single line text field to.
- Click the three dot button in the top right and select Customize Form Fields.
- Select New and the single line text field type.
- Here you will be able to enter a Field Label as well as a Default Value.
- Select Next and Save.
Your default value for the single line text field will now be saved and will prepopulate every time a users creates a new form for that particular form type. If the user has read/write access to that field, they will be able to delete the prepopulated default value and enter a new value.
Multiline Text
- Enter into the Form type you want to add a default multiline text field to.
- Click the three dot button in the top right and select Customize Form Fields.
- Select New and the multiline text field type.
- Here you will be able to enter a Field Label as well as a Default Value.
- Select Next and Save.
Your default value for the multiline text field will now be saved and will prepopulate every time a users creates a new form for that particular form type. If the user has read/write access to that field, they will be able to delete the prepopulated default value and enter a new value.
Date Fields
- Enter into the Form type you want to add a default date text field to.
- Click the three dot button in the top right and select Customize Form Fields.
- Select New and the Date field type.
- Here you will be able to enter the necessary information and select the check box Default to "Todays" Date.
- Select Next and Save.
Read Only Default Rules
- When users create new forms with default values in Single line, multiline, and date fields, and set those fields to read only for certain share groups, those default values will still populate.
- If a user has read only access to a default field, they can still view the default value field, but they will not be able to edit or change that value.
