Create Default Values and Rows for Project Collections

Project administrators can create collections and add default values within each row as well as set default rows. This is useful for setting up configurations such as Checklists and Inspections.

Overview

Project Administrators have the ability to set default values and create default rows in custom Project collections at a project level. Setting default rows in collections is useful for creating configurations such as Checklists and Inspections on different form types.  

Set Default Values for Project Collections

  1. From the Project homepage, navigate to the Project Administration section.
  2. Select Customize Forms.
  3. Navigate to the form type you would like to add the default values in a collection to and select it.    
  4. Under the "Form Fields" selection, select New and Collection.
  5. Enter the Collection name and scroll down to select New Column.
  6. Here, you will select which field type you would like to add default values to your collection under.  These field types include single line text, multiline text, and date fields.  
  7. After you select the Field type, you will enter the Field label, and a Default Value for that field type.

Once you have completed the previous steps, you will now have rows in a collections that will prepopulate with the default value you have entered.  These values will be editable and can be changed, but when a user selects create new above the collection, the default value will prepopulate in that field until the user changes it.  

Set Default Rows for Project Collections (For Checklists and Inspections)

  1. After you have created a collection within a project, navigate to the Customize Forms section, under Project Administration.
  2. Scroll down to find the Form type you have created a custom collection on, and select it. 
  3. Select the drop down menu on the far right of your collection, and select Edit.
  4. Scroll down and select the three dot button and choose Set Default Rows.
  5. Select Create New above the collection.
  6. Enter all of the default rows for this collections and select Add.
  7. Select Save.

Once you have added the default rows to the collection, they will now appear when a user enters into the form type this collection is apart of.  These default rows can be used to help create checklists and inspections for different form types.  

Rules for Default values and Rows in a Collection

  • If a user has read-only access to a field in a collection, that default value will still appear.  The user will not be able to change the value.
  • If a user has full access to a field with default values, the default value will appear but the user can change that value upon editing the collection.
  • When a collection has default rows added to it, users cannot add new rows or delete existing rows in that collection.  If users want to add new rows, they will need to create a new collection.
