Create a Company Workflow

Create and manage workflows at a company level and apply to multiple projects to enforce standardization.

Overview

Note: Only Company Administrators can create and manage Company Workflows.

Company Workflows are similar to workflows at a project-level.  The difference is that Company workflows are created and managed only at a Company level and then can be used across multiple projects.  This article focuses on the steps to create a Company Workflow, how to apply the Company Workflows to different projects, and the steps for deleting a Company Workflow.  

To access the Company Workflows area at a company-level, Company Administrators can click on the "Company Workflows" tab in the My Company area.  

Create a Company Workflow

  1. From the "My Company" homepage, click the Company Workflows option.
  2. Click the New button on the top right of the page.
  3. Enter the Workflow information (Name Description, Steps, etc.).
  4. Click the Save button.

By Default, the new Company Workflow is not added to any Projects.  The "Project Eligibility" panel allows you to add the newly created workflow across multiple projects. 

 Add Company Workflows to Projects

Note: Company Workflows can be added to projects in two ways: by Company Administrators "pushing" the workflows down to projects, or by Project Administrators "pulling" the workflows into their project.  The following steps explain how to "push" a Company Workflow down to a project.  

  1. Select the Company Workflow you want to add to a project.  
  2. On the top of the page, select the Project Eligibility tab.
  3. Select Add.
  4. In the pop up module, select the list of projects you would like to add the Company Workflow to, and select Add.

Remove Projects from Company Workflows

Note: Once a workflow has been started on a form within a project, that project cannot be removed from the Company Workflow list.  

  1. Select the Company Workflow you would like to remove a project from.
  2. On the top of the page, select the Project Eligibility tab.
  3. Scroll down to the project, and select Remove.
  4. A pop up will appear asking if you are sure you want to remove this project from the Company workflow, select Yes.

Once you have removed a project from a Company Workflow, you will still be able to re-add the project in the future.  

Delete Company Workflows

Note: Once a workflow has been started on a form within a project, that Company Workflow can no longer be deleted. 

  1. On the "My Company" homepage, navigate to the Company Workflows area.
  2. Next to the Company Workflow you want to delete, select the drop down button on the right sight of the page.
  3. Select Delete.
  4. A pop up will appear asking if you are sure you want to delete the Company Workflow, select Yes.

Once a Company Workflow has successfully been deleted, you will longer have access to this workflow, and will no longer be able to add it to projects.
